Privacy Policy

Letsmeetback is a meeting feedback tool. We built it to help people run better meetings — not to harvest data. This page explains exactly what we collect, what we don't, and why.
What we collect
Host account: Your email address when you sign up. Optionally: your name, role, industry, company size, and country if you fill in your profile.
Meeting data: Meeting titles, types, descriptions, and dates that you create as a host.
Attendee responses: Anonymous slider scores (a number between 0 and 1 per question) and an optional free-text comment. We collect no name, email, device ID, IP address, or any other identifier from attendees. Responses are anonymous by design.
Host self-assessments: Scores you submit when reflecting on your own meeting performance.
What we do not collect
Attendee identities: Responses cannot be traced back to individuals. We have no mechanism to do so, and we have no interest in changing that.
AI API keys: Your BYOK (bring your own key) API key is stored only in your browser's localStorage. It is never transmitted to or stored on our servers.
How we use your data
Meeting feedback: To display aggregate scores, gap analysis, and attendee comments to you as the host.
AI coaching: When you request an AI summary, we pass your meeting data and your API key directly to your chosen AI provider (Anthropic, OpenAI, Gemini, or Groq). We cache the resulting summary so you don't have to regenerate it. We do not read, log, or analyse AI outputs.
Future benchmarking: Profile fields (role, industry, company size) are collected now for a future opt-in benchmarking feature. They are not used for any other purpose in the current version.
Third-party services
Supabase: Our database and authentication provider. Your data is stored on Supabase-managed infrastructure. See supabase.com/privacy.
Google OAuth: If you sign in with Google, we receive your email address and name from Google. Nothing else.
AI providers: Anthropic, OpenAI, Google, and Groq are available as AI providers. Your API key and meeting data are sent directly from your browser to whichever provider you choose. Letsmeetback does not proxy or log these requests.
Vercel: Our hosting provider for the web app. See vercel.com/legal/privacy-policy.
Data retention
Your meetings and responses: Retained until you delete your account. There is no automated deletion in the current version.
Cached AI summaries: Stored alongside your meeting data and deleted when you delete your account.
Your rights
Access and deletion: You can request a copy of your data or ask us to delete your account and everything associated with it. Email us at rohitdakng@gmail.com and we'll take care of it.
Attendee data: Because responses are fully anonymous, we cannot identify or retrieve data belonging to a specific attendee.
Changes to this policy
If we make material changes to this policy, we'll update this page. We'll note the date it was last revised at the bottom.
